Office Assistant

Comarch is a world leader in Customer Loyalty, Telecommunication and Finance software with customers that include UniCredit, London Heathrow Airport, British Petroleum, Enterprise Rent-a-car, Telefonica, Coca Cola, Heineken, Red Bull, Unilever and many others. We are looking for a motivated, hardworking and enthusiastic Office Assistant to join our Milan office.

This is a fantastic and varied role; giving the Office Assistant experience working with various business departments. This chosen candidate will need to ensure the smooth-running of the office by coordinating all tasks by being responsible, positive and helpful with an ability to prioritise and work under pressure.


Main job duties & responsibilities of our Office Assistant:

  • Day-to-day office, secretarial and administrative support to assist Milan based staff with corporate internal matters and coordination of the office
  • PA duties to the Milan Country Manager and assisting in current top priorities
  • Property and office management & processing contracts
  • Internal system management and coordination
  • Overseeing the recruitment process
  • Processing employment contracts and preparing all documentation and systems training for new starters
  • Managing holiday entitlement & database management
  • Overseeing health and safety and writing the annual policy
  • Preparing and sending monthly personal and company expenses
  • Hosting and arranging client meetings to assure that all of the correct facilities and amenities are onsite
  • Initial phone assessment and diverting callers to the correct Comarch representatives in the Italy, Poland and other locations
  • Communicating with colleagues in international offices and be involved and supporting recruitment, accounting, HR, Marketing and Sales departments.

Requirements for our Office Assistant

  • Degree in Business or related subject
  • A placement year or 1+ years’ experience working in a similar role would be preferred
  • Fluent in English and Italian, communicative, customer-focused, success-oriented
  • Polish will be very welcome
  • Excellent writing skills & communication skills
  • Helpful, can do attitude, team player & self-motivated
  • Strong customer service, communication and negotiation skills
  • Must be well-organised, with attentional to detail with the ability to multi-task
  • Strong interpersonal skills
  • Willing to take ownership and responsibility for issues
