We are seeking a highly skilled and motivated Executive Assistant. As an Executive Assistant, you will play a crucial role in supporting top-level Executive and ensuring the smooth and efficient operation of the organization. You will be responsible for managing schedules, coordinating meetings, handling communication, and providing administrative support to the executive, allowing him to focus on strategic tasks and decision-making.

Candidate profile

  • Degree in Business Administration, Management, or a related field
  • Proven 3+ years of work experience as an Executive Assistant or in a similar role ex. (Administrative Assistant, Personal Assistant), preferably supporting C-level executives
  • Exceptional organizational and time-management skills
  • Proficiency in office software (e.g., Microsoft Office Suite) and calendar management tools
  • Strong communication skills
  • Discretion and the ability to handle confidential information with care
  • Adaptability and the ability to work in a fast-paced environment
  • Excellent problem-solving skills
  • Attention to detail and a high level of accuracy
  • Professionalism and the ability to represent the executive and the organization effectively
  • Willingness to travel up to 50% of working time, both domestic and international

Your responsibilities

  • Efficiently manage the executive's calendar, scheduling meetings, appointments, and travel arrangements
  • Serve as the point of contact for internal and external stakeholders, managing phone calls, emails, and other forms of communication
  • Arrange, coordinate, and prepare materials for meetings, conferences, and presentations
  • Handle all aspects of travel logistics, including booking flights, accommodations, transportation, and creating itineraries
  • Prepare and edit documents, reports, and presentations while maintaining a high level of accuracy and confidentiality
  • Help Executive prioritize tasks and manage workload effectively
  • Oversee the day-to-day operation of the executive's office, including managing expenses and handling administrative tasks
  • Build and maintain positive working relationships with team members, clients, and external partners
  • Maintain the highest level of confidentiality regarding sensitive information and company matters
