Head of Administration and Proxy

We are seeking a highly organized, professional, and reliable Head of Administration and Proxy to join our office in Dubai. This is a critical role combining high-level administrative management with legal responsibility. The successful candidate will act as a key liaison for our Middle Eastern operations, ensuring full compliance with local regulations in the UAE and Saudi Arabia, and representing the company in official and financial matters.
Candidate Profile
- Proven professional experience in the Middle East region (UAE and/or KSA is essential)
- University degree in Law, Administration, International Relations, or Management
- Fluency in English is mandatory. Proficiency in Polish will be considered a significant asset
- Ability to read, understand, and verify legal documents, contracts, and financial statements
- Advanced proficiency in MS Office suite (Word, Excel, Outlook)
- Basic understanding of economics, accounting principles, and HR/payroll processes
- Exceptional attention to detail, ability to meet strict deadlines, and high ethical standards for handling sensitive corporate documents
Your Responsibilities
As the Head of Administration and Proxy, your tasks will include, but are not limited to:
- Tax & Compliance: Managing monthly Withholding Tax (WHT) and quarterly VAT reporting for Comarch Saudi Arabia, ensuring strict adherence to deadlines to avoid penalties
- Insurance Management: Overseeing health insurance policies in the UAE and KSA; managing applications for employees and their families, including individual signing and stamping of dozens of documents
- Legal Documentation: Reviewing and signing Non-Disclosure Agreements (NDAs) across all business sectors
- HR Administration: Managing employment contracts and addendums for over 30 employees in Dubai and Riyadh; overseeing the End of Service Benefits (EoSB) and Final Settlement process
- Banking & Finance: Representing the company at BNP Paribas; signing orders for new bank deposits and providing necessary certifications (including physical delivery of documents to Riyadh when required)
- Corporate Representation: Signing audit-related documents and new sales service agreements across all sectors
- E-Government Systems: Approving official operations via Saudi government platforms on behalf of the company
- Facility Management: Negotiating office leases and managing office space in the UAE and KSA (e.g., Alkhobar); supervising office maintenance and cleaning services
