Candidate Profile
- Bachelor’s Degree
- 5 years of proven administration or office management experience (Experience in a tech company is a plus)
- Strong organizational skills
- Interpersonal and customer service skills
- Excellent written and verbal English communication skills
- Ability to anticipate needs and provide the highest quality of support
- Willingness to commit to extensive travel, both domestically and internationally
Your Responsibilities
Administration
- Perform a broad range of professional administrative duties to ensure the smooth and efficient operation of the CEO's office
- Collaborate with a variety of local teams and designated departments in Poland to support the CEO's daily operational tasks
Communication
- Serve as a primary point of contact for internal and external communications, signatory requirements, and event scheduling
Projects Support
- Manage other assignments and ad hoc projects varying from small to large scale
- Assist in prioritizing, planning, and tracking ongoing projects to ensure timely completion
Expense Tracking
- Track and reconcile travel-related expenses, ensuring timely submission of expense reports
Documentation Management
- Organize and maintain professional documents, records, and important paperwork
Emergency Assistance
- Be available to offer assistance during unexpected situations or emergencies
Executive Schedule Management
- Manage the CEO's calendar for both professional and personal commitments
- Ensure focus on priorities while handling routine tasks
- Prepare materials, agendas, and presentations for meetings
Travel & Event Planning
- Arrange travel, accommodations, and itineraries for the executive's trips and meetings.
- Coordinate and plan special events as needed
- Extensive Travel – this position requires a high travel commitment, with up to 90% of the time spent traveling both domestically and internationally
